This notice explains what SGN Golf collects when you use our guest Wi-Fi, why, how long we keep it, and how to have it removed.
The short version
- You can get online without telling us your name or email address.
- Giving an email address is optional. It extends your access from 8 hours to 30 days.
- We do not keep your device's hardware address. The portal never saves it and never writes it to the portal's own logs.
- We do not sell or rent your details to anyone.
- The marketing box is off unless you tick it, and it never affects your access.
What we collect
To let you on the network, we always record:
- That you accepted the Terms and this Privacy Notice, the date and time, and which version of each you were shown, so we can always tell exactly what you agreed to.
- Your marketing choice, whether it is yes or no.
- The connection itself: which facility, when, whether access was granted, and for how long.
If you choose to give them, we also store:
- Your email address, which extends your access to 30 days. We store the address itself, so we can contact you if you have asked us to.
- Your name, which is optional and does not change your access. We store it as you type it.
We do not ask for your phone number or your location, and this portal runs no advertising or analytics trackers.
Your device address
Every device has a hardware network address. Yours is used only for the moment it takes to switch your access on. The portal never writes it to any database, log, error message, or page it sends back to you. What we keep instead is a scrambled one-way fingerprint of it, computed with a secret key. It cannot be reversed back into your device's address.
We use that fingerprint for one purpose: to recognise your device if you come back while 30-day access is still running, so you do not have to fill the form in again. Your 30 days belong to that one device, not to your email address — a different device starts over, and if your phone is set to use a private or rotating Wi-Fi address it may not be recognised.
One limit on the above, so you are not misled: your device address does travel across the internet infrastructure that carries your connection to us, as it would for any web request. We can tell you what our own portal does with it. We cannot make promises on behalf of the network and hosting providers it passes through, which keep their own operational records under their own policies.
How long we keep it
- Your access record, name, and email: 45 days after your access expires. In practice about 45 days for 8-hour access, about 75 days for 30-day access.
- If you said yes to marketing: until 24 months after your last visit, if that is later.
- Your Terms, Privacy, and marketing choices: kept as a record of what you agreed to. That record never holds your email address itself — only a scrambled one-way fingerprint of it — and after 24 months we clear the fingerprint too. The record stays attached to the visit it came from, so for as long as we still hold your details from any later visit it can be traced back to you; once those details are deleted, what remains no longer identifies you.
- If you never actually got online: everything from that attempt is deleted after 7 days.
- If you ask us to stop contacting you: we keep a permanent do-not-contact marker. It holds only the scrambled fingerprint of your email, never the address itself, and exists so we cannot email you again by mistake.
Deletion is automatic. A scheduled job runs every day and removes anything past these limits.
Who else sees it
We do not sell, rent, or share your details with third parties for their own purposes.
The company that makes our network equipment processes the request that switches your access on. It receives your device identifier and how long access should last — never your name, your email, or your marketing choice.
We may also disclose information where the law requires it, such as a valid legal request.
The marketing choice
Ticking the marketing box means one thing: you agree we may email you occasional SGN Golf offers, events, and updates. It is off by default, it is never required, and it has no effect on whether you get online, how fast the connection is, or how long it lasts. It also means we keep your details for up to 24 months after your last visit rather than the shorter period above.
You can withdraw it at any time by emailing us.
Your choices
Email support@sgngolf.com to ask us to:
- send you a copy of what we hold about you;
- delete it; or
- stop contacting you, without deleting anything else.
We look your records up by email address, so please write from — or name — the address you gave us.
If you ask us to delete your information, three things deliberately stay behind. We say so here rather than let you find out later:
- a permanent do-not-contact marker, so we cannot email you again by mistake. Like the marker described above, it holds only the scrambled fingerprint of your email address, never the address itself, and it is never removed;
- the record of what you agreed to, with the fingerprint of your email cleared from it at once rather than after 24 months; and
- a dated note that you asked us to delete your information, kept for 24 months so we can show your request was carried out. It holds the same scrambled fingerprint, not your address.
Your email address, your name, and the link between them and your visits are deleted when we carry out the request. The connection records themselves stay until they age out on the schedule above, with your name and email no longer attached to them.
If you never gave us an email address, we have no way to find your visit: nothing we hold carries your name or contact details, and the device fingerprint described above is not something we can match to a person who writes to us. There is nothing for us to look up or send you. Those records are deleted on the schedule above without you needing to ask.
